Scope of Services

Project Planning: Successful project planning involves assembling a common understanding of project objectives, including quality, cost, and schedule criteria, and culminates in a project plan that documents this understanding.  Available reports, schedules and budgets are assessed against the projects criteria for success.

Reporting and Communication: Timely, accurate and responsive communication is essential to successful project delivery.  MHPM develops a comprehensive communications strategy that informs all project participants about the status of the project.  Reporting follows a consistent format and is frequent, regular, accurate and comprehensive.  Regular meetings, along with formal agendas and minutes are used to capture action items that are measured against the project schedule.

Budgeting and Cost Control: The budget is the project manager’s principal tool for identifying, monitoring and controlling project costs.  Cost control begins when the project budget s confirmed and ends when the project is delivered. MHPM has achieved excellent results using an integrated cost control log to monitor and report project financial information for facility projects.  Cost control and design management are inseparable, as it is during design that costs are most easily controlled.

Scheduling: The master project schedule is the tool that communicates timing and interdependency of all tasks to project participants.  It identifies milestones and performance indicators, as well as target dates for the preparation , submission, review and adjustment of all project documents.  Schedule management techniques such as crashing and fast tracking are considered when scoping the delivery methodology.

Risk Management: Project risk exists in all projects.  Risk management is the systematic process of identifying, analyzing and respond to project risk. When required, formal risk management plans are developed to ensure that the level, type and visibility of risk management are commensurate with the risk and importance of the project.

Stakeholder Engagement and Regulatory Approvals: As required, MHPM provides a single point of contact for the Client with respect to meetings and discussions relating to the project and its external stakeholders and regulatory bodies.  

Design Management: It is essential to retain a prime design consultants and related external resources at the outset of the project to ensure that the full benefit of design expertise is realized during the planning process. MHPM establishes a work breakdown structure identifying where additional consultant services are required and the corresponding responsibilities and deliverables.  A major role for MHPM during the design process is drawing coordination and management of drawing review.

Change Management:  However well researched and planned, projects will encounter some form of change during design and construction.  A change request process includes analysis of cost, schedule, operational and functional requirements.  

Construction Monitoring: MHPM works regularly on site with the contractor and consultants and serves a focal point for project activities. Throughout construction, MHPM reviews and reports on the progress and quality of the work at regular intervals, ensures that the building contractor and design consultant team are conducting inspections , and monitor and update the project budget and schedule.  The MHPM team also coordinates inspections, administration of changes and verification of the progress of construction, warranty work and commissioning activities

Project Acceptance and Turnover: With inspections and commissioning complete, MHPM focuses on ensuring a seamless handover and occupancy of the building by providing optional transition services including the detailing of move schedules and coordinating the move and installation of furniture, fixtures and equipment.  This can be a critical part of a project to ensure business can continue as normal throughout a renovation project or upon a relocation to a new facility.

Final Project Close Out: We review the submissions of operation and maintenance manuals, as-built drawings by the contractor and vendors prior to issuing them to the client.  We inform contractors and vendors to make good an remaining deficiencies of the work, and we assess and negotiate on the final invoices submitted by the contractor, consultants and vendors for the clients acceptance.  With these steps completed, we advise the client to release any remaining holdbacks to the contractors, consultants and vendors.
